FAQs for CPHIA 2023 Side Event Organisers

Event Registration

How should participants register for my side event?

All side event participants should be registered for the conference. You can visit https://cphia2023.com/registration/ to register. 


Side event organisers are responsible for creating a platform for their participants to sign up to participate in their sessions. When promoting your side event, please encourage people to register for the conference at https://cphia2023.com/registration/.

Are side event speakers and participants exempt from paying conference registration fees?

No. All participants who attend any side event in person must be registered for CPHIA 2023. You can find all the registration details here

 

Groups are required to complete individual online registration forms for each delegate and obtain a unique delegate ID.

 

Once the Unique IDs are obtained, for group payments, please email admin@iplevents.com listing group member names and unique ID’s.

 

An invoice with payment options will then be sent to you.

Are virtual side event speakers and participants exempt from paying conference registration fees?

Virtual speakers and participants are exempted from paying registration, as long as they will not be attending the event or the conference in-person. To attend the conference in-person, payment of the registration fee is required.

Is there a cancellation policy for side events?

Yes. Side event organisers must notify the CPHIA 2023 side events team of their intention to cancel the side event in writing no later than 14 days before the scheduled event date.

Once payment has been made, there will be no refunds.

Event Payment

What is the deadline for side event payments?

To secure your side event slot, payments must be received by 3 November 2023. Should you need to make your payment on arrival, kindly notify sideevents@iplevents.com and CPHIAsidevents@africa-union.org.

Who can I contact for questions and/or support regarding payment for my side event?

Event Promotion

How should my side event be branded?

Please ensure all communication regarding your event is branded as an ‘Official Side Event of CPHIA 2023.’ Kindly use the CPHIA 2023 high-resolution logo in all your promotional material. If you have questions or need any supporting materials, email CPHIAsidevents@africa-union.org.

Travel and Accommodation

How can I make travel and accommodation arrangements for our side event speakers and participants (e.g., hotel bookings, shuttle service to the conference venue, etc.)?

Will there be ground transport provided for conference delegates?

An airport shuttle service will be provided for all conference delegates. During the conference period, there will be a shuttle network connecting the Mulungushi International Conference Centre to select conference hotels. Visit the travel and accommodation page for more information.

Overview

Official CPHIA 2023 side events should align to Africa CDC’s vision for a New Public Health Order, covering topics including emergency preparedness and response, research and development, innovation, local manufacturing of health products, universal health coverage, women’s health and leadership, civil society and youth engagement, private sector engagement, partnerships, infectious diseases, and more.

Side events will be held virtually the week of 20 November and in person in Zambia throughout the day on 27 November, with some additional side events allocated in the morning and evening on 29 and 30 November.

Packages

The hosting fee for CPHIA 2023 side events is a minimum of USD $2,000. Additional services are available for an added cost and catering can be arranged separately. Please indicate the additional services you require in the side events form.

To help us better meet your needs, please indicate which package you will require for your event and if you require anything more than what is offered below.

Package 1 ($2,000)

  • Room with capacity and seating to accommodate anticipated audience size
  • Water bottles, pens and notepads for anticipated audience size
  • Audio and visual system, including two microphones and access to WIFI
  • Technical support, as needed
  • Translation services in AU languages
  • Registration waiver for one person (main point of contact for the side event)
  • Listing of the side event on the CPHIA 2023 website under the official side events program


Package 2 ($4,000)
Includes all services in package 1 plus:

  • Recording of the event 
  • Live streaming of the event
  • Virtual participation for guest speakers
  • More than two microphones 
  • Advance promotion of the side event on CPHIA channels, including up to 4 posts across Twitter, IG, and LinkedIn (timeline and content to be arranged in collaboration with conference planning team)
